Each type of meeting, from a one-on-1 discussion with a teammate to an all-hands conference to address organizational goals and issues, requires a well-crafted agenda. A well-crafted agenda will keep everyone engaged and focused and will increase productivity for everyone in the group and for each participant.
Determine the purpose of each item on the agenda. By defining each item’s objective participants will know what they can expect and will be able to modify their participation in accordance with the objectives. Setting clear goals for meetings helps ensure that the meeting doesn’t go off track, and is more likely to be successful.
For each goal, describe clearly how the desired result will be accomplished. This could include stating if the goal is to exchange information, gather input or make a choice. It can also define the process that is used in order to accomplish the purpose like obtaining a consensus or a voting.
Give an estimated time for each item on the agenda. By providing an estimated time, participants to prepare for the discussion and alter their participation accordingly. Leaders can also determine effective meeting agenda whether they require more time or if they are able to achieve the goal in less time.
Include “parking lots” items on your agenda. A parking lot is a place to record important thoughts or conversations that are related to the subject at hand, but not necessary to be discussed in this meeting. This technique can prevent meetings from getting slowed down by unrelated conversation and is especially useful for virtual meetings.
